Easily offset your business expenses by enabling our new "convenience fee" feature for D-Tools Payments! This feature can help reduce your overall costs and maintain profit margins. Once enabled, a 3% fee will be automatically applied to all transactions that are received via credit or debit card.

You can enable convenience fees at any time via your D-Tools Payments settings page. Simply navigate to this page, select the "enable" button, agree to our terms and conditions and a 3% convenience fee will be automatically applied to all card transactions.

When your client chooses to pay by card, the transaction total will update accordingly and your client will see messaging that card transactions include a convenience fee of $XX.XX amount. A record of this convenience fee will appear within a given payment request and under the transaction details, but will not impact your payment terms or sales reports.

Convenience fees can only be imposed on an alternative payment method. With this said, you will be unable to turn off the "Bank Transfer" option once convenience fees are enabled to ensure compliance. However, you will be able to turn off credit/debit card as an accepted payment method. You will also have the option to disable convenience fees at any time.

Please note that convenience fees cannot be advertised as a charge used to offset credit card processing fees, nor as a credit card "surcharge". Convenience fees are intended to offset your business expenses, and will not replace them entirely. When a convenience fee is applied, the transaction total will update accordingly and the applicable transaction fee will still be applied to the new total.

If you are someone who has enabled convenience fees for card transactions and uses QuickBooks online, you can also turn on our transaction & convenience fee automation in your QBO settings! Simply go into these settings and specify what QBO item you would like your convenience fees to be mapped to when an invoice is created. This automation will add a line item to every invoice for the convenience fee. This line item will have a $0 value if payment has not yet been collected or if your client submitted payment via a bank transfer. Then, once the payment is deposited into your account, the amount for this line item will be updated with the correct convenience fee value.

This new functionality is in addition to our existing transaction fee automation. For this, when this deposit is made, a journal entry will be created for the corresponding transaction fee. This journal entry will then be reconciled with the invoice and the payment will be marked as received.
